By Andre Bradley17 Job Abandonment Termination Letter Templates (Free Samples + HR Checklist)
When an employee suddenly stops reporting to work and does not communicate with you, you need to handle the situation carefully. You cannot simply assume that every unexplained absence is job abandonment.
Before you terminate employment, you should confirm the employee’s schedule, review your attendance policy, document missed shifts, attempt to contact the employee, and check whether a medical emergency, protected leave, disability-related issue, or another legitimate circumstance could explain the absence.
Your goal is to create a clear record showing what happened, when it happened, how you tried to contact the employee, which policy applies, and what action you ultimately took.
If you regularly prepare employee notices, you may also want to review Termination Letter Templates and Employee Warning Letter Samples before sending your final notice.
The 17 job abandonment termination letter templates below give you wording for standard no-call/no-show situations, employees who fail to return from leave, remote workers, probationary employees, employees with previous attendance warnings, and other common situations.
Quick Answer Summary
If you believe an employee has abandoned their job, you should generally:
- Verify the employee was actually scheduled to work.
- Document every missed shift.
- Review your written attendance and no-call/no-show policy.
- Check the employee’s recent messages, emails, leave requests, and HR records.
- Try to contact the employee using reasonable methods.
- Document every attempted phone call, voicemail, email, or text.
- Determine whether protected leave or another legally protected circumstance could apply.
- Follow your normal disciplinary and termination procedures consistently.
- Determine the correct termination effective date.
- Prepare a factual termination letter.
- Explain final pay, benefits, and company-property return procedures.

What Is Job Abandonment?
Job abandonment generally describes a situation in which an employee stops reporting for scheduled work and fails to communicate with the employer as required by the employer’s attendance or call-off policy.
You should avoid assuming that a specific number of missed days automatically creates job abandonment everywhere.
Your company’s written policy may say that two, three, or another number of consecutive no-call/no-show absences can result in termination. What matters is that you understand your policy, apply it consistently, and consider relevant legal protections before making your final decision.
You should also distinguish job abandonment from:
- An approved leave of absence
- An employee calling out sick
- An employee requesting FMLA leave
- An employee requesting a reasonable accommodation
- An employee being unable to communicate because of an emergency
- An employee resigning with notice
- An employee missing one shift
- An employee misunderstanding their schedule
For other attendance-related correspondence, you can review Absence Letter Samples.
Before You Send a Termination Letter for Job Abandonment
You should complete a basic investigation before you send your letter.
1. Confirm the Employee’s Schedule
Make sure the employee was actually expected to work on the dates you plan to list.
Review:
- Work schedules
- Shift changes
- Approved vacation
- Approved personal leave
- Medical leave
- Schedule swaps
- Manager approvals
- Remote-work arrangements
Do not accuse someone of abandoning their job because of a scheduling mistake.
2. Review Your Attendance Policy
Find the exact policy that applies.
Your policy may specify:
- How an employee must report an absence
- Whom the employee must contact
- How early notice must be given
- Whether the employee must call each day
- How many consecutive no-call/no-show days trigger disciplinary action
- Whether progressive discipline is required
- When an absence may be classified as job abandonment
If an attendance warning should come before termination under your policy, review Employee Warning Letter Samples before proceeding.
3. Document Every Missed Shift
Create a simple timeline.
For example:
May 4 — Scheduled 8:00 a.m. to 4:00 p.m. — Did not report — No call received.
May 5 — Scheduled 8:00 a.m. to 4:00 p.m. — Did not report — Voicemail left at 9:15 a.m.
May 6 — Scheduled 8:00 a.m. to 4:00 p.m. — Did not report — Email sent at 10:02 a.m.
This documentation gives you a much stronger record than simply writing, “The employee stopped coming to work.”
4. Attempt to Contact the Employee
Use the contact methods you normally use for employee communication.
Depending on your policies, you might:
- Call the employee
- Leave a voicemail
- Send an email
- Send a text message
- Contact the employee through your HR platform
- Send a written notice to the address on file
Document each attempt.
Your record should show the date, time, communication method, and result.
5. Check for a Protected-Leave Issue
This is particularly important when the unexplained absence could involve a serious health condition, hospitalization, pregnancy, caregiving situation, or another circumstance that may involve protected leave.
Eligible employees of covered employers can receive job-protected leave under the federal Family and Medical Leave Act for qualifying reasons, so you should determine whether FMLA or another applicable leave law needs to be considered before treating the absence as abandonment.
Your state or local law may provide additional protections.
6. Review Previous Warnings
Determine whether the employee has already received:
- Verbal counseling
- Attendance coaching
- Written warnings
- Final warnings
- No-call/no-show warnings
- Performance improvement notices
If previous warnings are relevant, identify their dates in your documentation.
7. Follow Your Policy Consistently
You should avoid treating similar employees differently without a legitimate reason.
If your policy normally allows three consecutive no-call/no-show days before termination, be cautious about terminating one employee after only one unexplained absence unless another policy or circumstance supports that decision.
Consistency can make your personnel records easier to understand and defend.
What Your Job Abandonment Termination Letter Should Include
Your letter should normally identify:
- The employee’s name
- The company name
- The missed work dates
- The employee’s last day worked
- Your attempts to contact the employee
- The relevant attendance policy
- The termination effective date
- Final paycheck information
- Benefits information when applicable
- Company property that must be returned
- A contact person for questions
Keep the explanation factual.
Instead of writing:
“You clearly do not care about your job anymore.”
Write:
“Our records show that you did not report for your scheduled shifts on May 4, May 5, and May 6 and did not contact your supervisor as required by the attendance policy.”
The second version documents facts without making assumptions about the employee’s motives.

How to Make Your Employee Termination Letter Stronger
Use Exact Dates
Avoid vague wording such as:
“You have been missing work for several days.”
Instead write:
“You did not report for your scheduled shifts on August 3, August 4, and August 5.”
Specific dates make your documentation easier to understand.
Describe What Happened Without Guessing Why
You usually do not need to write:
“You deliberately abandoned your position.”
You can simply document that the employee did not report and did not communicate as required.
Stick to facts you can verify.
Mention Your Contact Attempts
Including your attempts to contact the employee helps create a complete timeline.
For example:
“We called the telephone number in your personnel file on August 4 and August 5 and emailed you on August 5. We did not receive a response.”
Reference the Actual Policy
If possible, identify the policy by name.
For example:
“Section 6.2 of the Employee Attendance Policy states that three consecutive scheduled absences without required notification may be treated as job abandonment.”
Do not quote a policy that does not actually apply.
Keep the Tone Professional
A job abandonment termination letter should not punish, lecture, or embarrass the employee.
You are documenting an employment decision.
Keep the tone:
- Neutral
- Factual
- Brief
- Respectful
- Professional

Common Job Abandonment Letter Mistakes to Avoid
Mistake 1: Terminating Too Quickly
One missed shift does not automatically mean the employee intends to abandon the job.
Check your policy and the facts first.
Mistake 2: Failing to Attempt Contact
If you have not attempted to contact the employee, your documentation may look incomplete.
Record reasonable contact attempts.
Mistake 3: Ignoring a Possible Medical or Leave Issue
Do not treat an absence as ordinary misconduct without considering whether information you already have suggests that protected leave or another legal protection could apply.
Mistake 4: Using Emotional Language
Avoid statements such as:
“You have shown complete disrespect for the company.”
That language adds little useful information.
Document the absences instead.
Mistake 5: Promising the Wrong Final Pay Date
Final wage rules can vary by state, so verify the applicable requirement before stating exactly when payment will arrive. Federal law itself does not require immediate payment upon termination, while some states impose faster deadlines.
Mistake 6: Automatically Withholding Final Pay for Company Property
Do not assume you can withhold wages until a laptop, uniform, telephone, or other property is returned.
Confirm your wage-deduction and final-pay rules first.
Mistake 7: Forgetting Benefits Information
If the employee participated in health or other benefit plans, explain where they can obtain information about coverage ending or continuation options.
Mistake 8: Applying Your Policy Inconsistently
If two employees have similar attendance situations, you should be able to explain any materially different treatment.

Frequently Asked Questions About Job Abandonment Termination Letters
What is considered job abandonment?
Job abandonment generally occurs when an employee stops reporting for scheduled work and fails to communicate according to the employer’s attendance policy.
You should use the definition in your actual policy rather than assuming that every unexplained absence qualifies.
If the issue involves one or two missed shifts rather than a completed termination decision, reviewing Employee Warning Letter Samples may help you decide whether a warning is more appropriate.
How many days of no-call/no-show equal job abandonment?
There is no universal number that you should assume applies to every workplace.
Your employer policy may define job abandonment after two, three, or another number of consecutive scheduled absences without required communication.
You should follow your written policy and check any applicable employment requirements before making the decision.
Should you contact an employee before terminating them for job abandonment?
You should normally make reasonable attempts to contact the employee before finalizing a job-abandonment decision.
Your contact attempts can help you determine whether the employee intentionally stopped communicating or whether an emergency, hospitalization, leave issue, scheduling problem, or another circumstance exists.
Document every attempt.
What should you say when calling an employee who has stopped reporting to work?
Keep your message simple.
You can say:
“This is [Name] from [Company]. You were scheduled to work today, and we have not heard from you. Please contact [Manager/HR] at [Number] as soon as possible regarding your attendance and employment status.”
Avoid declaring termination in the voicemail unless the decision has already been properly made and you are authorized to communicate it.
Can you terminate an employee who fails to return from leave?
Possibly, but you should first determine what type of leave the employee was using and whether the employee may have additional rights or whether an extension request needs to be considered.
Federal FMLA provides eligible employees of covered employers with job-protected leave for qualifying circumstances.

What information should you put in a job abandonment termination letter?
You should usually include:
- Dates the employee missed work
- Last day worked
- Contact attempts
- Relevant policy
- Effective termination date
- Final pay information
- Benefits information
- Company-property instructions
- HR contact information
Your goal is to make the employment record understandable without including unnecessary accusations.
Should you mention previous warnings?
Yes, when they are relevant.
If the employee previously received a written attendance warning, you can identify the warning and its date.
For example:
“You received a written attendance warning on June 12, 2026, explaining the company’s no-call/no-show requirements.”

Can you send a job abandonment termination letter by email?
You may be able to send the letter electronically if that is consistent with your company’s normal procedures and applicable requirements.
You may also decide to send the notice using more than one method, such as email plus postal mail, so you have better documentation that the notice was sent.
Keep a copy of whatever you send.
What should you put as the termination date?
Use the effective date approved under your company’s policy and applicable requirements.
Do not casually backdate the termination notice.
Clearly distinguish among:
- The last day the employee actually worked
- The dates the employee failed to report
- The date the company made the termination decision
- The effective termination date
Can you withhold an employee’s final paycheck until company property is returned?
You should not automatically assume that you can.
Federal law does not generally require an immediate final paycheck, but state wage laws can impose their own payment deadlines and restrictions.
Check the law applicable to the employee before withholding wages or making deductions.
Should you include COBRA information in the termination letter?
If your group health plan is subject to COBRA and the employee’s termination results in a qualifying loss of coverage, COBRA notice requirements may apply. The employer and plan administrator have specific responsibilities in that process.
You do not necessarily need to explain every COBRA rule inside the termination letter. You can state that continuation-coverage information will be provided separately.
Can an employee receive unemployment after job abandonment?
Unemployment eligibility is generally determined under state law and depends on the circumstances of the separation.
You should provide accurate attendance records and other requested information if your state unemployment agency asks about the claim.
Avoid promising the employee that benefits will either be approved or denied.
Should you call job abandonment a resignation or a termination?
Use terminology that accurately matches your policy and the way you are processing the separation.
Some employer policies describe job abandonment as a voluntary resignation, while others process it as a termination.
Your letter, payroll records, HR system, unemployment response, and personnel file should be internally consistent.
What if the employee contacts you after receiving the termination letter?
Listen to the information the employee provides and document it.
If the employee explains that hospitalization, an emergency, or another circumstance prevented communication, you may need to review the matter with Human Resources or employment counsel before deciding whether any action should be reconsidered.
Do not promise reinstatement until the information has been reviewed.
Should you attach the attendance policy to the termination letter?
You can.
Attaching the relevant policy can make the record clearer, particularly when your decision depends on a specific no-call/no-show provision.
You may also attach:
- Attendance records
- Previous written warnings
- Property-return instructions
- Benefit information
- Other relevant documentation
Final Thoughts
When you handle job abandonment, your strongest approach is not an angry termination letter. It is a well-documented process.
You should be able to show:
- When the employee was expected to work.
- When the employee failed to report.
- What your policy required.
- How you attempted to contact the employee.
- What information you reviewed before making the decision.
- Why the termination date was selected.
- How final pay, benefits, and company property were handled.
Then your termination letter becomes the final summary of a documented process rather than the first piece of documentation you create.
