Grandparents Traveling With Grandchildren? 10 Free Consent Letter Templates

Traveling with your grandchildren canowever, when you are responsible for a child who is not your son or daughter, you should carry more than airline tickets, passports, and an itinerary.

You should also carry written permission from the child’s parent or legal guardian.

A well-written grandparent travel consent letter identifies the child, confirms your relationship, explains where you are traveling, lists the travel dates, and clearly states that the parent or guardian approves the trip.

Without this letter, you could face unnecessary questions at an airport, cruise terminal, border crossing, hotel, school, medical office, or urgent care center.

For additional examples covering different travel situations, review Parental Consent Letter Samples for Child Travel. You may also need Consent to Travel With One Parent when a parent will be joining part of the trip.

Which Grandparent Travel Letter Do You Need?

Answer these seven questions before choosing a consent letter. Select one answer under each question to see a detailed recommendation directly below your choice.

Important: This quiz helps you identify the most useful template. Your airline, cruise line, destination country, medical provider, school, or custody order may require additional documents.

1. What type of trip are you planning?

Your best starting point is Template 1: Domestic Travel Consent Letter.

Use it to document the child’s name, your relationship, exact travel dates, transportation, destination, lodging, and the parent’s contact information.

Although children generally do not need identification at a TSA checkpoint for domestic travel, the airline may have its own documentation or proof-of-age requirements.

Use Template 2: International Travel Consent Letter.

Include passport information, every country or city you will visit, exact departure and return dates, airline information, lodging, and both parents’ contact details when appropriate.

Ask whether the destination requires notarization, witnesses, a certified translation, an apostille, or additional custody documents.

Use Template 6: Cruise Travel Consent Letter.

List the cruise line, ship, reservation number, departure port, return port, and every scheduled port of call.

Contact the cruise line before departure because its minor-travel form, notarization rules, and identification requirements may be different from airline requirements.

2. What is the child’s custody situation?

Ask both parents to sign when both have legal authority. Two signatures can reduce questions, especially for international trips, cruises, or travel involving different last names.

Include a working phone number and email address for each parent.

Use Template 5: Shared Custody Travel Consent Letter.

Review the parenting plan or custody order before booking the trip. Attach any required approval from the other parent and carry a copy of the relevant court order.

A consent letter cannot override a court-ordered travel restriction.

The parent with sole legal authority may sign, but you should carry proof of that authority.

Useful supporting documents may include a custody order, guardianship order, death certificate, or another official record explaining why only one signature is available.

3. Could your grandchild need medical care during the trip?

Use Template 3: Emergency Medical Treatment Authorization Letter.

Include allergies, medications, medical conditions, health insurance information, the child’s doctor, parent contact details, and the exact period of authorization.

Ask the child’s medical provider whether it has a preferred consent form.

Use Template 4: Combined Travel and Medical Consent Letter.

This is convenient for uncomplicated trips because it combines travel approval, temporary supervision, and emergency medical authority.

A separate medical letter may still be easier for a hospital, urgent care center, dentist, or pharmacy to review.

Prepare a separate, detailed medical authorization letter even when your travel letter contains general medical wording.

Carry medication instructions, insurance cards, a list of allergies, the doctor’s contact information, and any emergency action plan.

You can begin with the travel-only template, but emergency situations are unpredictable.

Consider carrying at least basic written medical permission, a copy of the insurance card, allergy information, and parent contact details.

4. Do you and your grandchild have different last names?

Add Template 8: Different Last Name Explanation Letter.

Carry proof of your relationship, such as a birth certificate, marriage certificate, adoption document, custody order, or guardianship document.

Make sure every name is written exactly as it appears on the relevant identification and travel documents.

Matching last names may make your relationship easier to understand, but they do not prove that the parent approved the trip.

You should still carry the signed consent letter and appropriate supporting documents.

Carry the consent letter plus the legal records connecting the child, parent or guardian, and traveling grandparent.

Do not rely only on a written explanation when official adoption, guardianship, custody, or name-change documents are available.

5. Will your grandchild miss school because of the trip?

Add Template 7: School Absence Letter.

Provide the exact absence dates, destination, expected return date, and parent contact information.

Ask for assignments, reading, tests, or makeup work before the trip, and confirm whether the absence will be excused.

A school absence letter is generally unnecessary when no classes will be missed.

However, parents should still check the school calendar for orientation, testing, sports, summer programs, or other required activities.

Wait until the travel dates are confirmed before signing the final school and travel letters.

Exact dates are better than phrases such as “during summer” or “for approximately one week.”

6. How much caregiving responsibility will you have?

A domestic, international, or cruise consent letter may provide enough explanation for routine travel supervision.

The letter should still authorize ordinary decisions involving meals, transportation, lodging, activities, and safety.

Add Template 9: Temporary Caregiver Authorization Letter.

This letter explains your authority to supervise meals, lodging, transportation, activities, routines, and general safety.

It should state that permanent legal custody is not being transferred.

A basic travel letter may not be sufficient for a long-term arrangement involving school enrollment, medical decisions, benefits, housing, or legal custody.

The parent should consider whether a formal temporary guardianship or attorney-prepared document is needed.

7. Who will accompany your grandchild?

Use Template 10: One Grandparent Traveling Alone.

Identify the traveling grandparent clearly and explain that the parent authorizes that person to accompany, supervise, and care for the child.

Do not list the nontraveling grandparent as an accompanying adult.

List the full legal name, identification information, phone number, and relationship of each grandparent.

The letter should authorize both grandparents to travel with and supervise the child.

Identify every accompanying adult and explain each person’s role.

Do not assume the parent’s permission for the grandparent automatically extends to a spouse, friend, relative, tour leader, or other adult.

Why You Need a Travel Consent Letter When Traveling With Your Grandchild

A passport or birth certificate helps prove who the child is. A travel consent letter helps prove that you have permission to travel with the child.

That difference can become important when you are asked questions by:

  • Airline employees
  • Transportation officials
  • Cruise line representatives
  • Customs or immigration officers
  • Border authorities
  • Hotel employees
  • Tour operators
  • School officials
  • Medical providers
  • Law enforcement officers

You should strongly consider carrying written permission when:

  • Neither parent is traveling with you.
  • You are taking your grandchild outside the United States.
  • You are crossing an international border.
  • You are taking your grandchild on a cruise.
  • You and your grandchild have different last names.
  • The child’s parents share custody.
  • A custody or guardianship order applies.
  • You may need to obtain medical treatment for the child.
  • Your grandchild will be staying with you overnight.
  • You will be responsible for the child for several days or weeks.

Your letter should clearly explain what the parent is authorizing you to do. For additional permission language, see How to Write a Letter of Permission and Letter of Authorization Samples Giving Permission.

What to Include in Your Grandparent Travel Consent Letter

Your letter should be clear enough for someone to understand quickly. Do not make an airline employee, border officer, cruise representative, or medical provider search for important information.

Include the following details.

Child Information

  • Full legal name
  • Date of birth
  • Home address
  • Passport number, when applicable
  • Passport expiration date, when applicable
  • Citizenship, if relevant

Grandparent Information

  • Full legal name
  • Relationship to the child
  • Home address
  • Mobile phone number
  • Email address
  • Passport number, when applicable

Parent or Guardian Information

  • Full legal name of each parent or guardian
  • Home address
  • Mobile phone number
  • Email address
  • Relationship to the child

Travel Information

  • Exact departure date
  • Exact return date
  • Departure city
  • Destination city, state, or country
  • Additional destinations or ports of call
  • Airline, flight, train, or cruise information
  • Hotel or lodging address
  • Reservation number, when appropriate

Permission Information

  • A clear statement approving the trip
  • A description of the authority being granted to you
  • Medical authorization, when needed
  • Emergency contact information
  • Parent or guardian signatures
  • Signature date
  • Witness or notary acknowledgment, when needed

When your trip includes possible medical treatment, you may also need Authorization for Emergency Medical Treatment During a Trip.

Documents You Should Carry With the Consent Letter

Do not rely on one letter alone when you are taking your grandchild on an important trip. Prepare a complete travel document packet.

Your packet may include:

  • The original signed travel consent letter
  • A notarized copy of the letter
  • A separate medical authorization letter
  • Your grandchild’s passport
  • A copy of your grandchild’s birth certificate
  • A copy of each parent’s photo identification
  • Your government-issued photo identification
  • Your passport, when applicable
  • Your complete travel itinerary
  • Airline or cruise confirmations
  • Hotel and lodging information
  • Emergency contact information
  • Your grandchild’s health insurance card
  • A list of allergies and medications
  • Custody or parenting documents
  • Guardianship paperwork
  • A death certificate if one parent is deceased
  • Proof of sole legal custody, when applicable
  • Proof of your relationship to the child

The U.S. Department of State recommends carrying a copy of the child’s birth certificate or other evidence showing your legal or family relationship. It also advises travelers to investigate the entry and departure rules of every destination because requirements differ between countries. least one paper copy in your personal bag. Save a digital copy on your phone and provide another copy to the child’s parent or guardian.

Should You Notarize a Grandparent Travel Consent Letter?

Not every domestic trip requires a notarized letter. However, notarization can make the document easier to verify because a notary confirms the identity of the person signing it.

You should strongly consider notarization when:

  • You are traveling internationally.
  • You are crossing a border.
  • You are taking a cruise.
  • You and your grandchild have different last names.
  • A custody or guardianship arrangement applies.
  • Only one parent is signing.
  • The child is traveling for an extended period.
  • The airline or travel provider requests notarization.
  • The destination country requires notarized permission.

Do not assume that one standard notarized letter will satisfy every country. Some destinations may require a specific form, additional witnesses, an apostille, a certified translation, embassy authentication, or proof of sole legal custody.

The State Department advises you to research the entry and exit requirements of each destination because laws and procedures for minors vary. Practical Tips Before You Travel With Your Grandchild

Match Every Name Exactly

Use the child’s full legal name exactly as it appears on the passport, birth certificate, airline ticket, and other official records.

Use your name exactly as it appears on your identification.

A missing middle name, nickname, spelling difference, or incorrect date of birth can create avoidable questions.

Use Exact Dates

Do not write “during summer vacation” or “for approximately two weeks.”

List the exact departure date and return date.

Include Every Major Destination

If you are visiting several cities, countries, islands, or cruise ports, list them in the letter or attach the full itinerary.

Give Parents Copies

The parent or guardian should keep a signed copy of every letter and supporting document.

Carry Paper and Digital Copies

Keep one paper copy in your carry-on bag or travel folder. Store a digital copy on your phone and in a secure email or cloud account.

Check With Every Travel Provider

Contact the airline, cruise line, tour company, school, hotel, or other organization before the trip.

Ask whether it requires:

  • A specific consent form
  • Original signatures
  • Both parents’ signatures
  • Notarization
  • Medical authorization
  • Proof of relationship
  • Copies of identification
  • Custody documents

Keep Emergency Information Accessible

Do not bury medical information, insurance cards, and emergency contacts at the bottom of a suitcase. Keep them in a folder that you can reach quickly.

Common Mistakes to Avoid

Assuming the Word “Grandparent” Is Enough

Your relationship to the child does not automatically prove that you have permission to travel.

The letter should expressly state that the parent or legal guardian approves the trip.

Forgetting Medical Authorization

Travel permission and medical permission are not always the same.

When you may need to take the child to a doctor or hospital, prepare a separate Emergency Medical Treatment Permission Letter.

Using Vague Travel Information

Avoid phrases such as “for a vacation,” “later this month,” or “for a while.”

Use exact dates, destinations, lodging information, and transportation details.

Leaving Out Parent Contact Information

Provide at least one phone number and email address that will work during the entire trip.

Include a backup contact in case the parent cannot be reached.

Ignoring Custody Orders

A consent letter does not cancel or override a custody order, parenting plan, guardianship order, or travel restriction.

Review all applicable documents before making travel arrangements.

Waiting Until the Day Before Departure

Prepare the documents early enough to contact the airline, cruise line, school, medical provider, notary, attorney, or destination embassy if questions arise.

Advanced Grandparent Travel Document Checklist

Check each item as you prepare the permission letters, identification, medical information, custody records, and travel documents for your trip.

Before you begin: Requirements can vary by destination, airline, cruise line, medical provider, school, and custody arrangement. Verify the current rules before the child leaves home.

1. Confirm Parental or Guardian Permission

Confirm exactly who has legal authority to approve the trip.

A signed consent letter does not override a court order or legal travel restriction.

2. Complete the Child’s Information

Match every name and date to the child’s official records.

3. Complete the Grandparent’s Information

Identify each traveling grandparent clearly.

4. Document the Complete Travel Plan

Use exact dates and locations instead of general descriptions.

Avoid vague phrases such as “for summer vacation,” “for about a week,” or “to several destinations.”

5. Prepare Identification and Relationship Documents

Carry supporting records that connect the child, parent, and grandparent.

6. Prepare Medical and Emergency Information

Make it possible to obtain help quickly if the child becomes sick or injured.

7. Verify International or Cruise Requirements

Complete this section when the trip leaves the United States or includes international cruise ports.

8. Handle School and Daily Care Arrangements

Complete these items when the child will miss school or stay with you for several days.

9. Review, Sign, and Store the Documents

Perform a final accuracy check before anyone signs.

10. Complete the Departure-Day Check

Keep the most important records accessible rather than inside checked luggage.

FAQs About Grandparents Traveling With Grandchildren

Do You Need a Signed Letter to Travel With Your Grandchild?

A signed letter may not be requested during every domestic trip, but carrying one is a sensible precaution when neither parent is traveling.

For international travel, cruises, and border crossings, written permission is much more important because the destination country or travel provider may require formal documentation.

For additional situations, see 15 Parental Consent Letter Samples for Child Travel.

Does Your Grandchild Need Identification for a Domestic Flight?

TSA generally does not require children under 18 to provide identification for domestic U.S. flights. However, the airline may request proof of age or other documentation for its own procedures. the airline before departure and carry a copy of the child’s birth certificate when appropriate.

Should Your Grandparent Travel Letter Be Notarized?

Notarization may not be necessary for a simple domestic trip. However, it is often a safer choice for international travel, cruises, custody situations, extended trips, or different-last-name situations.

Some countries specifically require notarized written permission when a child travels with someone who is not a parent or legal guardian. Should You Carry Besides the Consent Letter?

You should consider carrying:

  • The child’s passport
  • A birth certificate copy
  • Parent identification copies
  • Your identification
  • Your itinerary
  • Hotel information
  • Emergency contacts
  • Insurance information
  • Medical authorization
  • Custody or guardianship documents
  • Proof of your relationship

Can You Authorize Medical Treatment for Your Grandchild?

You may be able to seek or approve medical care when the parent or legal guardian gives you written authority and the provider accepts that authorization.

Provider requirements and state laws can vary. Use Medical Consent Letter for Grandparents and check with the child’s medical provider before the trip.

What Should You Do When You and Your Grandchild Have Different Last Names?

Use a signed travel consent letter and carry documents showing the family relationship.

Supporting documents may include a birth certificate, marriage certificate, adoption document, guardianship order, or custody record.

Do Both Parents Need to Sign the Letter?

Having both parents sign can provide stronger documentation when both parents share legal authority.

However, the correct procedure depends on the custody arrangement, court orders, destination rules, and travel provider requirements.

When only one parent has legal authority, carry documentation proving sole custody or guardianship.

Is One Letter Enough for Travel and Medical Care?

A combined letter may work in uncomplicated situations. However, two separate letters are often easier for travel personnel and medical providers to understand.

Use one document for travel permission and another for medical authorization.

Can You Use the Same Letter for More Than One Child?

You can list more than one child, but preparing a separate letter for each child is usually clearer.

A separate letter allows you to list each child’s passport information, medical needs, allergies, medications, and identifying details without confusion.

How Long Should the Letter Remain Valid?

The letter should cover only the necessary travel period.

Use exact start and end dates. Avoid creating an open-ended authorization unless an attorney or other qualified professional advises you to do so.

What Happens When the Travel Plans Change?

Prepare and sign a new letter when the dates, destinations, accompanying adults, lodging, or transportation arrangements change significantly.

The information in the letter should match the actual itinerary.

Where Can You Find General Permission-Letter Wording?

You can review How to Write a Letter of Permission and Letter of Authorization Samples Giving Permission.

Final Thoughts

When you travel with your grandchild, your goal is to show that the child’s parent or legal guardian knows about the trip, approves the arrangements, and trusts you to supervise the child.

Your consent letter does not need complicated legal language. It needs accurate names, exact dates, clear permission, reliable contact information, appropriate signatures, and the supporting documents required for your particular trip.

The more carefully you prepare your travel packet, the less likely you are to face preventable questions at an airport, cruise terminal, border crossing, hotel, school, or medical facility.

Before leaving, confirm the current requirements with your airline, cruise line, destination country, school, medical provider, and any other organization involved in the trip.
